Privacy Notice

This notice explains how Believers Growth Academy should handle learner, trainer, admin, course, and certificate records in line with UK data protection expectations.

This page is written for clarity and good UK practice. It should be reviewed by the church leadership and, where needed, a qualified legal or safeguarding adviser before formal adoption.

1. Who We Are

Believers Growth Academy is a training website and digital property of The Kingdom Chapel. For the purposes of UK data protection law, The Kingdom Chapel is responsible for deciding how academy records are used unless a separate written agreement states otherwise.

Questions about privacy, records, or account information should be raised with the academy administrator or church leadership team using the official contact details provided by The Kingdom Chapel.

2. Information We Collect

We may collect basic account information such as name, email address, phone number, role, church or ministry unit, trainer assignment, and access status.

We may also collect training information such as course progress, answers to checks, completion dates, certificates, uploaded learning materials, trainer notes, and administrative actions.

Where a learner chooses to provide it, the academy may hold Christian profile information such as membership status, baptism status, discipleship goals, prayer needs, spiritual gifts, and ministry involvement. This information can be sensitive and should be handled with particular care.

3. Why We Use Information

We use academy records to provide training, manage staged course access, issue certificates, assign trainers, support learners, protect the platform, and keep appropriate ministry oversight.

We may use contact details to send service messages such as welcome notices, trainer assignment updates, course completion notices, and important policy or safeguarding notices.

We do not use learner records for unrelated marketing without a proper lawful basis and clear permission where required.

4. Lawful Basis and Sensitive Information

Depending on the activity, the lawful basis may include contract, legitimate interests, legal obligation, consent, or explicit consent for optional sensitive spiritual profile information.

Where information reveals religious belief, pastoral needs, health, safeguarding concerns, or other special category data, access should be limited to those who need it for training, pastoral care, safeguarding, or legal compliance.

Learners should not be pressured to provide optional spiritual or pastoral information. Where consent is relied upon, it should be possible to withdraw consent without unfair treatment.

5. Sharing and Access

Student records should only be visible to the learner, assigned trainers where appropriate, and authorised administrators. Trainers should only see learners assigned to them unless a senior administrator approves wider access.

We may use trusted technology providers for hosting, storage, authentication, email, analytics, or support. Those providers should only process data for academy purposes and under appropriate security arrangements.

Information may be shared where required by law, safeguarding duties, church governance, or a legitimate investigation into misuse, safety, or misconduct.

6. Retention

Account and training records should be kept only for as long as needed for training, certification, safeguarding, accounting, legal, or church governance purposes.

Completed certificates and essential completion records may be retained longer so that learners and churches can verify training history. Informal notes should be reviewed regularly and removed when no longer needed.

Safeguarding records may need to be retained separately and for longer periods in line with safeguarding guidance and legal advice.

7. Your Rights

Under UK data protection law, individuals may have rights to be informed, access their data, correct inaccurate data, request deletion, restrict processing, object to some processing, and data portability in certain circumstances.

Some rights depend on the lawful basis used and may not apply in every situation, especially where records must be kept for safeguarding, legal, accounting, or church governance reasons.

If you are unhappy with how your data is handled, you should first contact The Kingdom Chapel. You also have the right to complain to the Information Commissioner's Office at ico.org.uk.

8. Security

Academy access should be role-based. Admin access must be approval-only, trainer access should require authorisation, and students should not be able to view other students' private records.

Passwords, access codes, account approvals, uploaded files, and administrative reports should be managed carefully. The academy should review access regularly and remove access when someone no longer needs it.
